We're pleased to announce the 2 July 2026 release, focusing on improvements to onboarding notifications, form builder controls, DBS validation, reference check fraud detection, and integrations with Vincere and Bullhorn.
What's new
Client Onboarding Form completion notification email
Consultants now automatically receive an email notification when a candidate completes their Client Onboarding Form.
The notification email includes:
Candidate name and ID
Candidate email address
A direct link to the completed form
Completion date and assigned consultant

📌Note: To turn off this notification, select General Settings in the Dashboard.
Read-Only for Consultant Toggle on Single Choice controls
A new 'Read Only for Consultant' toggle has been added to Single Choice controls in the Form Builder. When enabled, the candidate's selected option and any associated comment become read-only for recruiters and consultants, preventing accidental edits.
Toggle OFF (default): The recruiter can view and edit the field and comment as usual.
Toggle ON: The field and comment are visible but disabled; the recruiter cannot modify them.
Applies to Single Choice controls only, not Multi-Choice.
No impact on ATS (Applicant Tracking System) mapping or integrations.

30-Character Limit on 'Town of Birth' and 'County of Birth'
A 30-character limit is now enforced on the 'Town of Birth' and 'County of Birth' fields across all DBS Check forms.
If the entered text exceeds 30 characters, a red validation message appears.
The form cannot be submitted until the field is corrected.
Applies to all clients using DBS Check forms.

IP Address Match Flag in Reference check reports
Reference reports now display a red IP Address Alert when a candidate and referee have submitted from the same IP address, flagging a potential case of fraud.
A red warning banner appears at the top of the reference report.
The matched IP address is displayed for transparency.
Identifies cases where a candidate completed the reference themselves.

Vincere placement invite: Recipient Type selector with auto pre-fill
When launching an Onboarded document from Vincere, users can now select a Recipient Type before sending the invite. Relevant fields are automatically pre-filled based on the selected type.
A 'Select Recipient Type' drop-down appears before the invite is sent.
Available options: Candidate (default), Client Contact, Site Contact.
Relevant fields are automatically populated from the placement record.

Bullhorn reference check status sync
Completed reference checks in Onboarded now automatically sync the status back to Bullhorn — no manual action required.
When a reference is completed in Onboarded, the corresponding Bullhorn reference record is updated automatically.
The status field is set to 'Completed' and the Date Last Modified is updated.

Why can't I edit a candidate's answer in the form?
The 'Read Only for Consultant' toggle may be enabled on that Single Choice control. When toggled on, the candidate's selected option and any associated comment are visible but cannot be edited by recruiters or consultants.
How do I stop recruiters from editing single choice responses?
In the Form Builder, enable the 'Read Only for Consultant' toggle on the relevant Single Choice control. When enabled, the field and comment are visible but disabled for recruiters and consultants.
What does the Read Only for Consultant toggle do?
When enabled on a Single Choice control, the candidate's selected option and any associated comment become read-only for recruiters and consultants, preventing accidental edits. It applies to Single Choice controls only — not Multi-Choice — and has no impact on ATS mapping or integrations.
Why is my DBS form showing a validation error?
A 30-character limit is now enforced on the 'Town of Birth' and 'County of Birth' fields on all DBS Check forms. If the text entered exceeds 30 characters, a red validation message appears and the form cannot be submitted until the field is corrected.
Why can't I submit my DBS check form?

What is the character limit for Town of Birth and County of Birth on DBS forms?
Both fields are limited to 30 characters.
What does the red IP Address Alert mean on a reference report?
A red IP Address Alert appears when a candidate and referee have submitted from the same IP address, flagging a potential case of fraud. The matched IP address is displayed in the report for transparency.
Why is there a warning on my reference check report?
A red warning banner appears at the top of the report when a candidate and referee share the same IP address. This indicates the candidate may have completed the reference themselves.
How does Onboarded detect if a candidate completed their own reference?
Onboarded compares the IP addresses used by the candidate and referee when submitting. If they match, a red IP Address Alert is displayed at the top of the reference report, along with the matched IP address.
How do I choose a recipient type when sending a Vincere placement invite?
When launching an Onboarded document from Vincere, a 'Select Recipient Type' drop-down appears before the invite is sent. Select from Candidate (default), Client Contact, or Site Contact — relevant fields are then automatically pre-filled from the placement record.

Relevant fields are automatically pre-filled based on the Recipient Type you select, pulling data from the placement record in Vincere.
What recipient types are available in Vincere?
Three options are available: Candidate (default), Client Contact, and Site Contact.
Why has my Bullhorn reference status automatically changed to Completed?
As of the 2 July 2026 release, completed reference checks in Onboarded automatically sync the status back to Bullhorn. When a reference is completed, the corresponding Bullhorn record is updated with a status of 'Completed' and the Date Last Modified is updated — no manual action is required.
